Set up shift
Administrators can create and manage customized shifts for employees to ensure accurate attendance tracking.
Steps to Manage Shift:
Navigate to Access > Admin > Manage Shift – click Add Shift to create a new shift or select an existing shift to enter the details page.
Enter Shift Details:
- Shift Name *
Enter the name of the shift (e.g., General, Night Shift)
- Shift Code *
Enter a unique code to identify the shift
- Start Time
Select the shift start time
- End Time
Select the shift end time
- Allow Late Entry
Enable this option to allow employees to mark attendance after shift start time (within configured limits)
- Minimum Work Hours *
Enter the minimum number of hours required to be considered a full working day
- OT Threshold
Enter the minimum extra working time required to qualify for overtime
- Grace In (mins)
Enter allowed late arrival time (in minutes) without penalty
- Grace Out (mins)
Enter allowed early exit time (in minutes) without penalty
Shift Behavior:
- If End Time > Start Time → Treated as a regular shift
- If End Time < Start Time → Treated as a night shift (cross-day)
Activate/Deactivate Shift:
- The shift is automatically activated upon creation
- You can deactivate the shift if no longer required
Shift Deactivation Rule
A shift can be disabled only if there are no future employee assignments or rotation mappings associated with it.
- Allowed:
If the shift is not assigned to any employees or rotations for future dates
- Restricted:
If the shift has any future usage in:
- Employee shift assignments
- Shift rotation configurations
- If Future Usage Exists:
To disable the shift:
- Remove the shift from all employee assignments
- Remove the shift from all rotation configurations
- Then proceed with shift deactivation
Note:
- Shift settings are used in attendance calculation, late marking, and overtime computation
- Changes to shift configuration will apply to future attendance records
- Ensure correct time configuration for accurate reporting
- Only active shifts are listed in dropdowns for selection.
